Disaster Prevention and Safety Measures at CEATEC

CEATEC's infection control measures

As the organizer of CEATEC 2022, which will be held at Makuhari Messe, preparations for the event will be made in accordance with the COVID-19 Infectious Disease Control Guidelines, while taking measures to prevent the spread of the virus.
In holding the exhibition, the organizers will place the highest priority on the safety of all concerned, including exhibitors and visitors, and take the following measures.

Countermeasures against COVID-19 infection

  • Online pre-registration is highly recommended for all persons involved in CEATEC; if registration is to be performed on the day of the event, the event will be operated taking infection control measures into consideration.

  • Installation and use of COCOA – COVID-19 Contact-Confirming Application for smartphones provided by Japan's Ministry of Health, Labour and Welfare is recommended.

  • All persons entering the event hall venue must wear masks.

  • Temperature will be taken prior to admission, and anyone with a fever of 37.5 degrees Celsius or higher will be denied entry.

  • We ask for your cooperation in hand sanitizing. (Hand sanitizer is provided at all entrances/exits and in common areas.)

  • Common areas where anyone can access (e.g., reception, lounge, seminar rooms, etc.) will be disinfected frequently.

  • Aisles in the exhibition halls will be a minimum of four (4) meters wide, with a minimum of one (1) meter spacing between rows to ensure social distancing to the greatest extent possible.

  • Seats in the conference and seminar venues should be at least one (1) meter apart.

  • The venue will be adequately ventilated while measuring CO₂ concentration.

  • A nurse will be stationed in the first aid room. A first aid station will also be set up exclusively for persons suspected of being infected with COVID-19.

  • Sprayers with space sterilizing effect will be installed at conference and seminar venues, etc.

  • The capacity of each venue will be determined in accordance with the policies of the government and local government at the time of the event.

  • Organizer's initiatives

    • Infection control measures in the exhibition venue
      • Booths will be allocated in such a way as not to create a dense or congested environment.
      • In facilities where waiting lines are expected, such as those associated with admission procedures, markers will be placed on the floor to maintain adequate spacing.
      • Partitions will be set up in the facilities associated with the admission procedures where face-to-face conversations with visitors are required, to prevent droplet and contact infection.
      • Hand sanitizer will be installed in the rest areas and lounges set up by the organizer in the exhibition halls.
      • Furnishings and items (e.g., tables and chairs) that are shared with other exhibitors will be disinfected frequently.
      • The loading/unloading gates within the exhibition halls will be opened for air circulation to the extent that it does not interfere with the operation and safety of the exhibition.
      • A nurse will be stationed at all times during the load-in period and the exhibition period to provide temporary care for those who are not feeling well.
      • In the event of an outbreak of suspected infections, we will respond in accordance with the "Manual for Outbreak of Suspected Infection".
    • Infection control measures for visitors
      • We encourage visitors to register in advance to reduce the frequency of face-to-face contact at the facility during the admission process.
      • All the management staff commissioned by the organizer will be required to take their temperature and check their physical condition every morning.
      • All personnel entering the venue will be required to wear masks, wash their hands, and disinfect their fingers.
      • All personnel entering the venue will be required to take their temperature.
      • Visitors who are found to have a fever of 37.5° C (99.5° F) or higher upon temperature check at the time of entry, or who report feeling unwell, will not be admitted to the exhibition venue.
      • A nurse will be stationed at the exhibition site during the loading-in period and while the exhibition is in session to provide temporary care for visitors who are feeling unwell.

  • Measures during congestion

    • The number of visitors will be monitored, and admission will be restricted in case of congestion.
    • We will patrol the venue as necessary to avoid a dense environment and alert visitors.
    • Visitors will be urged to leave the venue promptly and smoothly after closing and on the last day to avoid a dense and congested environment.

  • Safety measures at the seminar venue

    • Partitions will be placed on speakers' and presenters' podiums to prevent droplet infection.
    • Entrances and exits will be opened to provide adequate ventilation.
    • Maintain social distancing by keeping a distance between audience members.
    • Disinfect equipment used by speakers, such as microphones and computers, each time they are used.

  • Requests to exhibitors

    • During exhibition preparation
      • When designing your booth, please plan a design that avoids density (e.g., fewer walls, more space in the layout, etc.) and does not place a heavy burden on on-site construction
      • When inviting clients, please inform them of the following precautions: Temperature checks will be conducted at the venue, masks must be worn, etc.
      • Please prepare extra masks, face shields, and disinfectant products for staff to prevent infection.
    • During loading/unloading and exhibition period
      • Please make sure that all staff members scheduled to work at the exhibition take their temperatures and check their physical condition every morning.
      • Please ensure that all staff members wear masks, wash their hands frequently, and sanitize their hands and fingers.
      • In accordance with infection control measures, we recommend that you prepare a test kit to confirm infection.
      • If your booth is laid out so that you are face-to-face with visitors in the business meeting space, please ensure that both parties wear masks and install shielding such as acrylic panels and vinyl curtains to prevent droplet infection.
      • Exhibitors are requested to frequently disinfect items in their booths that people touch such as shared items and doorknobs.
      • Exhibits and other items that can be touched by visitors should be disinfected each time they are touched.
      • Please consider digitizing printed materials for visitors so that they can be distributed in a non-contact manner.
      • If a stage is set up in the booth or other areas where visitors are likely to stay for a certain amount of time, please indicate their standing positions on the floor so that visitors can keep their distance from each other.
      • If you will be narrating on stage, etc., with your mask removed, please install a splash prevention sheet and take measures to keep a distance of at least 2 meters from visitors.
      • When distributing novelties, etc. that visitors can freely pick up, please be sure to disinfect them before handing them over to visitors.
      • Please be flexible in adjusting demonstration and business meeting times depending on the number of visitors to your booth, and take care not to create a crowded situation within the booth.
      • Please refrain from talking or calling out loudly, including during business meetings and while explaining to visitors.
      • Please ensure that all staff members thoroughly sanitize their hands after leaving the premises or conducting business meetings.
      • Please encourage visitors to leave the building promptly after closing.
      • Please construct a work schedule that does not create a dense environment during load-out.
      • Please be sure to seal all items that may contain viruses, such as masks, face shields, gloves, etc., in a plastic bag and dispose of them.
      • Please make a daily roster of all staff working at your booth (including subcontractors) and retain it for three weeks after the exhibition ends. The public health department may make inquiries.

Disaster Prevention and Safety Measures at CEATEC

CEATEC will be held with enhanced disaster prevention and safety measures in place to ensure that visitors can visit the exhibition and conduct business negotiations with peace of mind, and that exhibitors and other related parties can participate in the exhibition with peace of mind.

In the event of a disaster, the Management Office will act in accordance with the basic policy of "giving top priority to the safety of visitors and exhibitors.

  • In the event of a disaster, we will quickly gather information, provide information and evacuation instructions to visitors, exhibitors, and related parties, extinguish fires in the initial stages, rescue the injured, and work with the fire department, police, and other related agencies to ensure the safety of everyone.
  • Organizers and exhibitors will cooperate to create a safe environment for visitors by designing booths in consideration of preventing collapse and leakage of electricity in case of earthquake, fire, or other disasters, and by securing aisle widths in consideration of evacuation routes.
  • In the event of a disaster, we will promptly provide information to visitors via PA system broadcasts, etc., so that they can act calmly even in an emergency situation.

CEATEC At CEATEC, the organizer and exhibitors will voluntarily implement various power-saving measures.

Encouragement of "Cool Biz" Dress Code

CEATEC 2022 recommends "Cool Biz" dress code from October 18 (Tue.) to 22 (Fri.), 2022. Visitors can opt to dress casually without ties or jackets.
